Dear Conference Delegate,
2012 Imagine the World Public Libraries Conference to be held in beautiful Port Stephens is fast approaching.
The conference will be hosted by Shoal Bay Resort and Spa with all conference and accommodation facilities being provided in the one location. All registrations and accommodation bookings are being handled by the Port Stephens Visitor Information Centre.
The conference package includes three nights accommodation, Tuesday evening welcome function, two full days conference package (morning tea, lunch, afternoon tea) and Thursday evening Conference Dinner including beverages.
Shoal Bay Resort and Spa has a diverse range of studio, one, two and three bedroom apartments for you to enjoy. Package prices start with the studio rooms located at the rear of the resort which can accommodate up to 4 people.
Attached to the registration form is a list of accommodation by room type which confirms the Conference Package price per person based on Single / Twin / Triple / Quad share and the maximum number of guests per room.
A "non delegate" price is also listed and includes accommodation only.
Example: 3 delegates attending with a non delegate sharing one room would require a quad share room. See the registration form for the corresponding quad share prices (two bedroom Bayview Apartment – max 4 people – earlybird delegate rate is $638.00 per person & non delegate rate is $215.00).

A full buffet breakfast option is listed on the accompanying registration form.
We understand that some delegates may wish to take advantage of the great conference rates on offer from Shoal Bay Resort and Spa and extend their stay. Please note this on your registration form and we will contact you with more details.
Wednesday evening is free for you to enjoy our local attractions and cuisine. Two dinner options have been organised for your convenience:
- Moonshadow Twilight 3 hour dinner cruise featuring a buffet dinner and live entertainment. Enjoy a cocktail whilst cruising the crystal clear waters of Port Stephens. Return coach transfers included:

- The famous Rock Lobster Restaurant situated at d'Albora Marina in Nelson Bay. A well known restaurant famous for its fresh seafood and al a carte menu. Return coach transfers included:

Please note: The prices quoted above are subject to change pending final numbers of guests attending.
Day packages have also been made available for those delegates with limited time who wish to attend either Wednesday or Thursday. Please refer to your conference program for more information.
The conference package for each day comprises full participation in the program for that day including morning tea, lunch and afternoon tea.
Deposits and Cancellation fees:
A 50% deposit (of your total booking) is required with your completed registration form to confirm your reservation. Payment can be made with credit card, cheque or direct deposit. Balance payments will be due no later than Friday 22nd June, 2012. A confirmation email will be sent to you advising your total booking cost less deposit paid.
Cancellation fees apply to all payments as follows: DEPOSIT 10% of deposit up to 90 days prior
